UT WOMEN'S ULTIMATE CLUB CONSTITUTION
Spirit of the Game Ultimate has traditionally relied upon a spirit of sportsmanship which places the responsibility for fair play on the player. Highly competitive play is encouraged, but never at the expense of the bond of mutual respect between players, adherence to the agreed upon rules of the game, or the basic joy of play. Protection of these vital elements serves to eliminate adverse conduct from the Ultimate field. Such actions as taunting of opposing players, dangerous aggression, intentional fouling, or other "win-at-all-costs" behavior are contrary to the spirit of the game and must be avoided by all players. --Ultimate Player's Association
ARTICLE I: Name
The name of this organization is The University of Texas Women's Ultimate Club.
ARTICLE II: Purpose
Under the guidance of the Spirit of the Game, the aims of this club shall be:
I. To play and compete successfully and with good sportsmanship at the national collegiate level;
II. To provide a positive opportunity for female students at The University of Texas to participate in competitive athletics;
III. To promote the sport of Ultimate in the community through teaching and outreach.
ARTICLE III: Membership
Club membership shall be open to all currently enrolled female UT students. Faculty and staff affiliated with UT may join as non-voting members. To be recognized as a full-voting member of the club during the current semester one must
[1] participate in practices regularly,
[2] satisfy the eligibility requirements for college membership in the Ultimate Player's Association,
[3] fulfill the membership requirements of The University of Texas Sports Club Association (UTSCA),
[4] be in good financial standing with the club, and
[5] satisfy any additional conditions set in the club bylaws.
Club membership shall not discriminate on the basis of race, color, religion, sexual orientation, national origin, or disability.
ARTICLE IV: Officers
The officers of this organization shall be the two Captains, President, Vice President, Treasurer, and Fundraising Coordinator. Together these officers make up the Governing Board (GB). If necessary, the GB shall draft and ratify the club's bylaws by unanimous vote within the first two weeks of each semester. Bylaws shall extend and clarify, but never contradict this permanent document.
All officers must be full-voting members of the club and have a 2.25 GPA or higher at the time of election.
All officers shall serve one-year terms. No member shall serve more than two full terms in any one office (excluding partial terms), nor hold multiple simultaneous offices. An officer may be removed by a petition vote of no confidence signed by 2/3 of the voting members.
If an officer position becomes vacant for any reason, the club shall select by majority vote a qualified member to fill the position.
The duties of the officers of this organization shall be as follows:
1. The Captains shall determine the team's official tournament schedule, submit bids to tournaments, lead the team in competition, select and work with coaches on matters related to team training and preparation, schedule practices and training at all-weather venues, run practices, set up practice fields, communicate with the team regarding competitive expectations and priorities, call and lead team meetings in coordination with the President, communicate recruitment needs and priorities to the President, organize and communicate unofficial competition opportunities to club members, and delegate such duties to club members as appropriate.
2. The President shall serve as the official liaison between the University of Texas Women's Ultimate Club and the UT Men's Ultimate Club, The University of Texas Recreational Sports Association (UTSCA), and the Austin ultimate community. To this end, the President will attend UTSCA meetings, communicate the club's UTSCA-related responsibilities to the rest of the team, secure field space for practices and fundraising events, communicate regularly with representatives from the UT Men's Ultimate Club and coordinate home tournament activities. In addition, the President will call and lead team meetings in coordination with the Captains, oversee recruitment, organize publicity and sponsorship, and delegate such duties to club members as appropriate. The President will oversee the activities of two persons appointed by the GB, whose duties and titles follow: [1] the Webmaster will design the club website, develop its photographic and historical content, maintain its timeliness, and report directly to the President on matters related to these responsibilities; [2] the Membership Coordinator will collect and process UTSCA and UPA membership forms, maintain recruit lists, collect and publish a phone list, and report directly to the President on matters related to these responsibilities.
3. The Vice President shall serve as the Assistant Club Rep for UTSCA purposes, assist the President with activities related to recruitment, coordinate travel and lodging for away tournaments, communicate with representatives of the Men's Ultimate Club regarding joint tournament travel, complete UTSCA forms related to tournament travel and budgets, record minutes of all GB and team meetings, and delegate such duties to club members as appropriate. The Vice President will also oversee the activities of a person appointed by the GB to serve as the Social Coordinator, whose duties shall be to organize and communicate social and volunteer events to club members and report directly to the Vice President on matters related to these responsibilities.
4. The Treasurer shall determine the team budget based on communication with the Captains and Fundraising Coordinator, present budget requests to the Department of Recreational Sports, maintain the club's Campus and Community Involvement bank account, write bid checks for tournaments, collect travel fees from club members, reimburse members for travel expenses, communicate with the UT Men's Ultimate Club on financial matters, and delegate such duties to club members as appropriate. The Treasurer will also oversee the activities of a person appointed by the GB to serve as Merchandise Coordinator, whose duties shall be to price and order uniforms and team merchandise, hold and sell such merchandise, record merchandise sales, deposit receipts from merchandise sales, and report directly to the Treasurer on matters related to these responsibilities.
5. The Fundraising Coordinator shall communicate with the Treasurer regarding the club's financial needs, schedule and organize fundraising events, communicate with the UT Men's Ultimate Club on joint fundraising opportunities, keep records of individual fundraising efforts, and delegate such duties to club members as appropriate.
ARTICLE V: Meetings & Elections
Regular meetings shall be held at least twice per semester. Official meetings shall be called by the President and/or Captains or at the request of at least five voting member. Meetings must be scheduled and announced to all club members by phone or email two weeks in advance of the meeting date. Sixty percent of the full-voting members must be present to constitute quorum.
The GB shall meet at least once per month to discuss and coordinate the business of the organization.
Elections shall be held annually at the end of the spring semester between the last day of classes and the first day of examinations or as soon as possible after the last UPA tournament in which the club competes, but no later than the first day of classes in the fall semester. The elections shall proceed in the following order: Captains, President, Vice President, Treasurer, Fundraising Coordinator.
Nominations of candidates to specific offices shall open two weeks prior to the election. Nominations shall be submitted to the President and have the consent of the candidate. Initially, any candidate shall be nominated to only one office. The President shall post nominees' names and positions publicly. Nominations shall close twelve hours prior to the scheduled election. Nominations will be taken from the floor at the elections only for candidates who ran for but lost one of the preceding races. The format for the elections will be decided and made public by the GB a week before the election. At the election meeting, each nominee should be allowed no more than 10 minutes to address the club. Contested elections shall always be held by closed ballot. Each full-voting member, excluding the candidates for that race, may vote for no more than one person on each ballot, with the exception of the captains' race, in which each full-voting member may vote for their top two choices on a single ballot. If no candidate wins a simple majority in the first vote, the top thee candidates in the election shall compete in a runoff for the election. In the case of a 3- or 4-way split in the captains' race, all remaining candidates will be eliminated from the running and the three or four will compete. In the event of a tie vote, the winner will be determined by a game of Flutterguts.
Inauguration of the newly elected officers shall occur each year on the day after the election.
ARTICLE VI: Annual report
The GB shall prepare an annual report of the organization's activities. The report shall be presented at the beginning of the spring election meeting, and shall be made available to all club members.
ARTICLE VII: Ratification and Amendment
For ratification, this constitution must have a 3/4 majority support of the quorum of the proposed full-voting membership. Terms of office begun before ratification shall be counted toward term limitations. The organization members shall meet to elect officers within two weeks of this constitution's ratification.
A 2/3 majority of the organization's full-voting members shall be necessary to amend this constitution.
